Chapter 6: Orders

Overview

The My Vision Express Order module allows you to process your sales of frames, spectacle and contact lenses, lens treatments, services, and other items. There is two ways to enter, edit or view an order in the program:

1.   The detailed order screen allows you to work on the different sections of the order in separate tabs. It has every order field at your disposal. You can access this screen by using the proper keyboard shortcut listed in Table 1 below, by selecting the appropriate order type from the File > Order menu options or from the detailed order drop down in the main application toolbar (Fig. 1). Also, orders generated from the ‘Prescription’ tab or opened from the ‘History’ tab on the patient profile will be displayed in a detailed order screen (see Chapter 4 for more information).

2.   The Quick Order screen is more geared towards the point of sale process. You can enter your new orders from this screen which displays, all at once, the most essential order fields. To access this screen, press [Ctrl][Q] on your keyboard, go to File > Quick Order or click the Quick Order button in the main application toolbar (Fig. 1).

You can switch from Quick Order to a detailed order screen at the click of a button. If you start setting up or editing an order in Quick Order and later find that you need to fill in one of the fields that are only available in the detailed order screen, just click the Details… button on the lower right hand side of the Quick Order screen to the detailed screen.

 There is five different order types in My Vision Express. When you start a new order in Quick Order, you can select which ‘Type’ you want to use under the ‘Order’ section of the screen. The detailed order screen will change the combination of tabs available for editing according to the order type chosen from the File > Order menu or the detailed order drop-down in the main toolbar. Quick Order will display only the fields that are relevant to the order type selected. The order type also determines what type of inventory items can be sold in an order. Table 1 displays the items allowed for each type.

A receipt in My Vision Express can include several orders. If a patient is purchasing a combination of items that cannot be accommodated in the same order, you need to generate separate orders which can then be grouped into the same receipt. You would achieve this by clicking on the Print… button in Quick Order or the Preview… button in the ‘Payments’ tab of the detailed order screen and selecting, from the Print dialog that opens up, the orders to combine on the same receipt before printing. Orders generated for the current patient throughout the same calendar day will be selected (grouped together) by default.
