Chapter 4: Patients

Patient Overview

Fig. 1 - The compact patient profile dialog. You can access the full patient profile by clicking the Details... button in the lower right hand side.

The Patient module allows you to store all the necessary information on your patients. Patient information is displayed in two different formats:

§ The compact profile dialog (Fig. 1) displays the fields used most often throughout the application. You will see this dialog when you click the New… or Modify… buttons in an Add/Modify Calendar dialog (see Chapter 3), when you click the Details… button in the ‘Patient’ section of Quick Order, or when you click the Modify… button in an exam or order. Also, when you select a patient’s family member and click the Modify… button in the ‘Family’ tab of the full profile window, you will get this dialog.

§ The full profile window contains every detail available for the patient in the database. You will see the patient profile in this format if you go to File > Patients from the main menu (or click the Patients button in the main toolbar, or press [CTRL][P] in your keyboard) and select a patient record from the Search Patient dialog. You can also see the full patient profile by clicking the Details… button in a compact profile dialog, in the ‘Patient’ tab of an exam or order, or in the ‘Family’ tab of the full profile window itself. In the last location, the Details… button will open the full profile of a family member selected.

You can keep track of prescriptions; generate new orders; view existing orders, appointments, exams and insurance claims; attach files or scans; add family members; enter insurance information; and pull VSP authorizations when you are looking at the full patient profile. From the compact profile dialog –among other limitations– you cannot enter new prescriptions, orders or family members; but you might be able to lookup or enter patient information more efficiently.

NOTE: You can set certain fields to be mandatory when a patient profile is being entered or edited. To do this, go to File > Setup > Required Fields and check the fields that you want to be required. A new patient profile or the changes to an existing one cannot be saved until all required fields are completed. They will be highlighted in red if they are not. The system makes the first and last name fields always mandatory.

The next section in this chapter will show you how to use the Search Patient screen. After that, you will see the full patient profile screen and find out about the functionality of each one of its 10 tabs. In the compact profile, each tab will have an equivalent full profile tab except for ‘Referral’ which contains the same fields as the group box of the same name in the ‘Demographics’ tab of the full profile screen. Thus, if you know how the full patient profile works, you will also understand the compact profile screen.
