Chapter 2: Inventory Setup

Physical Counts

*Warning: This is a very powerful Screen and is recommended that it ONLY BE AVAILABLE TO PERSONNEL WITH ADMINISTRATIVE RIGHTS.  For more information on how to set this up see the topic on Company Information-Security.  If not properly used this screen can reset your inventory counts all to zero.  So read the following section carefully to learn how to appropriately use this screen. *

Physical Counts screen lets you synchronize quantity on hand that exists in the system with the physical inventory. You can choose to perform physical counts manually or scan the items.

      Using the Physical Counts screen:

1.  Follow the menu item sequence … File | Inventory | Physical Counts.

2.  In the Physical Counts Screen on the top left corner  select either the Manual or Scan Tab (Barcode scan).

3.  Specify the Location and Item type for which you are performing the physical count

4.  Next,  specify the Transaction Date, and select the Transaction type from the drop-down list.

5.  The Notes Text Field is automatically defaulted  but can be changed. Each item variance is entered as an inventory transaction and stamped with the Trans. Date, Trans. Type and Notes.

6.  To Update your on hand quantity via the Scan Tab you must scan all the frames in your inventory then click the Update On Hand Button. This will then automatically adjust the quantity the system shows to the actual physical quantity on-hand. If the item is not in your inventory you must first add it to inventory. (See the appropriate topic in the Inventory Chapter)

NOTE: If the scanned quantity is not modified and the Update On Hand Button is clicked it will reset all of your on hand quantity to zero.

 

      Scan Tab

7.  Under the Scan Tab the Print Scan Button, located on the lower right part of the screen, provides a detailed print of all the items scanned.

8.  The  Print Summary Button prints a report of different  items scanned and provides totals for these items.

9.  The Fill-un-scanned Items Button lets you add records of inventory that exist in the system inventory but have not been scanned. The scanned quantity for these items is defaulted to zero.

10. The Update-on-Hand Button reflects the variance quantity transactions into the system.

 

      Manual Tab

11. Under the Manual Tab once you select the Item Type, it displays all items that exist in the inventory . Only the items whose quantity is greater than zero will show up.

12. If there is nothing coming up after selecting the item type this means that all items on your inventory have an on hand quantity of zero.

13. You may choose to print the list by clicking the Print Button and use it as a worksheet while you are taking your inventory. Then you can enter the counts from the worksheet to the corresponding On-Hand Item Box.

14. You can then print the physical count variance by clicking the Print Button.

15. If you click the Update-on-Hand Button it will reflect the variance quantity transactions in system.
